CVHCare is seeking a highly organized Receptionist/ Admin Assistant for our San Ramon office.

Position Summary: The Receptionist/ Admin Assistant position plays a vital role in overseeing the day-to-day operations of the Corporate Office front desk. They are responsible for answering and triaging all incoming calls in a courteous and professional manner, giving information, direction and other appropriate assistance to employees, patients, referral sources, etc. This position is subject to frequent interruptions, in person and by phone, which require excellent time management, organizational & communication skills. The Receptionist/ Admin Assistant will offer support for the various teams, as well as the top executives of an organization.

Key Responsibilities:
  • Greet incoming guests, clinicians and candidates
  • Receive, direct and relay incoming telephone calls and voicemail messages
  • Triage patients, employees, referral sources and the general public to appropriate staff
  • Exercise individual judgment while dealing with disgruntled customers.
  • Assist in the set-up and preparation of meetings and office events as needed
  • Pick up and distribute mail daily
  • Construct and maintain an adequate supply of Start of Care/Admission Packets
  • File and retrieve corporate documents, records, and reports
  • Provide vendor support.
  • Perform general office duties such as ordering supplies, inventory management, maintaining records management systems.
  • Assist in Facilities management and travel arrangements
  • Conduct research, compile data as needed.
  • Provide excellent customer service
  • Other duties as assigned by the Supervisor.

Minimum Qualifications:
  • High school diploma or equivalent required. Graduate from a one or two year Business College is preferred.
  • Minimum of 1 year customer service experience to include communicating with customers over the phone – preferably in a health care environment.
  • Must have impeccable telephone protocol, effective typing skills and knowledge of MS Office, internet navigation and professional customer service etiquette.
  • Exceptional communication skills, listening, written and verbal with the ability to manage difficult conversations, to include effective approach to diffuse dissatisfied/irate patient, while maintaining a calm and empathetic attitude.
  • Able to deliver effective results, meet deadlines and targets.
  • Ability to work effectively as a team member
  • Knowledge of medical terminology a plus

Benefits:
This position is intended to work less than 30 hours a week and is therefore no eligible for benefits.
